Spring Meeting: 38th ARLIS/NA Annual Conference, Boston, MA.
April 24, 2010, 12 attendees.
Communications and meeting plans for 2010 were the primary topics of discussion at this meeting. Emily Hunter, the Interim Web Manager and Roger Lawson, Newsletter Editor provided a progress report on the Listserv migration to TEI in addition to preliminary work on a more interactive Website. Lee Viverette of the Virginia Museum of Fine Arts, and Mario Ascencio of the Corcoran College of Art + Design Library, expressed enthusiasm for hosting the 2010 chapter meetings at their institutions. Kristina Keogh, winner of the Caroline Backlund Professional Development Travel Award was introduced. The group also discussed member presentations, posters, and other types of involvement during the conference.

ARLIS/DC-MD-VA and the Mid-Atlantic VRA held separate chapter meetings. In the ARLIS chapter meeting, Kimberly Detterbeck, Secretary/Treasurer reported on membership and finances. The Student Outreach Committee members reported that an outreach brochure had been printed and distributed to the University of Maryland and Catholic University of America’s library school programs. Kristina Keogh, winner of the Caroline Backlund Professional Development travel award, provided a report on her activities at the ARLIS/NA Annual Conference, which included a poster presentation. Emily Hunter, Interim Web Manager and Roger Lawson, Newsletter Editor discussed the development of the chapter’s new Website and demonstrated a prototype using WordPress. Hunter also provided a handout with the costs and features of third party hosting options. The chapter voted to proceed with Blue Host as the provider, since TEI could not currently host WordPress or other content management systems.
The Chair presented proposed amendments to the chapter bylaws which would include the Web Manager and Newsletter Editor positions as officers appointed by the chair. The chapter members discussed the roles of the Web Manager and Newsletter Editor, agreeing to change the title of the Newsletter Editor to Content Editor since the newsletter will be integrated into the new Website.
The Chair also reported that the Virginia Museum of Fine Arts has agreed to host the fall 2010 meeting. The members discussed programming and preparations for this meeting.

November 5, 2010, 24 attendees. Hosts Suzanne Freeman and Lee Viverette.
The VMFA opened its renovated spaces this May after a major expansion that added 165,000 square feet and reshaped the look and feel of the entire museum. The expansion doubled the VMFA’s space for major traveling exhibitions and dramatically increased its space for permanent exhibitions. New features include a sophisticated granite entrance, a stunning 3 story glass atrium, and a new library: the Margaret R. and Robert M. Freeman Library. Hosts Suzanne Freeman and Lee Viverette, arranged for three of the VMFA’s distinguished curators to lead our members on tours of their permanent collections.

2:30-3:45pm – Chapter Business Meeting, Founder’s Conference Room

During the chapter business meeting, the Chair reported that the ARLIS/NA Executive Board approved the proposed bylaws amendments. The Chair also reported that the ARLIS/NA Strategic Planning Committee is soliciting input for the upcoming 2011-2014 strategic plan. The chapter voted to contribute $250 to the Welcome Party for the 2011 VRA + ARLIS/NA Conference. Kimberly Detterbeck gave the Treasurer’s report, distributed the 2011 membership forms, and announced she is in the final stages of composing a chapter assessment survey. Members of the Student Outreach Committee led an open discussion about how to serve the needs of students in the area. Emily Hunter and Roger Lawson were applauded for their work in launching a new Website. Roger Lawson reported that the status of listserv administration using L-Soft through ARLIS/NA pending. There was an open discussion about meeting plans and programming for 2011. Nominations for the upcoming officer’s elections were solicited. Kimberly Detterbeck volunteered to run for Vice-Chair and Megan Halsband for Secretary/Treasurer. The Chair thanked the chapter members for their support and participation during 2010.
CHAPTER ACTIVITIES
- Donation to the ARLIS/NA Conference Welcome Party: The chapter donated $250.
- Caroline Backlund Professional Development Travel Award: Kristina Keogh was the recipient of this $500 award. Keogh presented a poster at the ARLIS/NA Conference titled, Images for Everyone: From Finding Images Tutorial to Visual Literacy in the Curriculum.
- New Website: Emily Hunter, Interim Website Manager launched a new Website in October of 2010. The new chapter uses WordPress and provides greater interactivity that the previous Web site. The new url is: http://arlisdmv.org/
- Bylaws Amendment: The chapter voted to include a section on appointments in the chapter bylaws. This section includes the positions of Web Manger and Content Editor. Roger Lawson was appointed the Content Editor and Emily Hunter the Web Manager.
Article V. Appointments
A. Web Manager: Shall be appointed by the Chapter Chair for a term of two years, renewable on a yearly basis after the initial term. Duties include managing all aspects of the Chapter’s Web site including design, technology, content, and communications.
B. Content Editor(s): Shall be appointed by the Chapter Chair for a term of two years, renewable on a yearly basis after the initial term. Duties include gathering, editing, and publishing content.
- Student Outreach Committee: Printed and distributed brochures to area library schools.
- Chapter Assessment Survey: Kimberly Detterbeck created this tool to assess member satisfaction and to help establish a strategic direction for the chapter. The survey was distributed in November. An analysis of the results is pending.
- Chapter Elections: The ballot was conducted on a survey tool distributed over the listserv. Sarah Osborne Bender was elected as the Vice-Chair and Megan Halsband as the new Secretary/Treasurer.
